The organiser of 'Minis at Dunsfold', which was to take place on 3 June 2017, approached us to see if we were available to attend their charity event to capture attendees and their cars on the famous Top Gear track. We have significant experience of taking professional images of many models of car, both tracking and static, and for both individual clients or at events during the UK motor calendar.
Our key contact discussed the full requirements with the organiser, along with planning out the day, noting exclusive photographic locations and providing both a contract for services and our full indemnity and professional liability insurance. We also suggested and agreed the communications we would have both before and after the event with attendees, to include how and when we would pass the images to the attendees. We also discussed our costs, which we in fact chose to waive on this occasion given the nature of this charitable event, and we also offered 10% of all image sales income to the charity.
It was an incredible turnout on the day and our Photographer and Assistant captured images from various locations around the track during 31 sessions. Following the event the images were processed and low resolution images were live on our website and on our facebook page for attendees to view within 24 hours of the event. Both the organiser and attendees were very impressed with the tight turnaround and we also made it very easy for attendees to find their cars in all the sessions and images, by creating a spreadsheet based on their number plates, which again was very well received - "They took hundreds of great photos on the day and then had them up edited and up online in just 24hrs!! And not only that, a spreadsheet showing which cars were in which groups which I think is an amazing and unbelievable feat!!!!!!".
The approx. 100 attendees were given options to purchase all images of their car for a fixed price. They could also choose a collage of their images and either A4/A3 sized prints. An online order form was available and invoices were issued out to them electronically, with high resolution images being delivered within 2 days and collages and prints within a week.
We were thrilled with the number of attendees who chose to purchase their images, collages and prints and the feedback we received both by email, verbally and on facebook was fantastic. We very much hope to be invited back if this event runs next year!
